iDental Billing privacy policy

How we gather, use, share and protect personal and patient information while we run dental billing, insurance verification and credentialing for your practice.

1. Overview

iDental Billing is committed to safeguarding the privacy of the individuals and organizations we work with. This policy explains how personal and patient information is gathered, applied, shared, and protected while we perform dental billing, insurance verification, provider credentialing, and related back-office support.

2. What We Collect

To deliver our services, we gather details directly from our clients and, where applicable, their patients, including:

  • Insurance plan details, coverage information, and identifying documents needed for claims submission and eligibility checks.
  • Patient demographic data, insurance information, procedure/treatment codes, and dental chart information required for accurate billing.
  • Credentials, licensure records, and provider identification needed to complete payer enrollment and credentialing.

3. How We Use It

Information gathered is used only to carry out the services we’ve been engaged to provide, including:

  • Verifying dental insurance eligibility and benefits.
  • Preparing, submitting, and following up on dental claims and reimbursements.
  • Supporting provider credentialing and enrollment with insurance payers.
  • Responding to client questions and sending service-related notices.
  • Meeting applicable legal and regulatory requirements, including HIPAA.

4. Keeping Information Secure (HIPAA)

As a HIPAA-aware service provider, we apply administrative, technical, and physical safeguards to protect the information entrusted to us, such as:

  • Restricting data access to trained staff who have signed confidentiality agreements.
  • Using secure systems and procedures designed to prevent unauthorized access, loss, or misuse of data.
  • Periodically reviewing and testing our security practices to keep them effective and current.

5. When Information Is Shared

We only share client or patient information when it’s needed to perform our services, when the law requires it, or when a client has authorized it. This can include:

  • Transmitting claims and verification data to dental insurance payers.
  • Submitting credentialing or licensing documentation to the appropriate regulatory body.
  • Responding to a subpoena, court order, or other lawful request.

We never sell client or patient information, and we do not share it with outside parties for advertising purposes.

6. How Long We Keep Information

We hold on to client and patient records only as long as needed to complete the services provided or as required by applicable law. Once that period ends, records are securely disposed of or de-identified.

7. Minors

Our services are intended for adults, and we do not knowingly gather information from anyone under 18.

8. Updates to This Policy

This policy may be revised from time to time to reflect changes in our operations or in the law. Any updates will be posted here with a new effective date, and we encourage clients to check back periodically.

9. Text/SMS Communications

Mobile numbers and opt-in data are never shared with outside companies or affiliates for marketing purposes, and this remains true regardless of any other provision in this policy.

Message Consent: Agreeing to receive text messages is never a requirement for using iDental Billing’s services. Texts may cover things like appointment or billing confirmations, account updates, or occasional promotions.

Stopping or Restarting Messages: Reply “STOP” at any time to unsubscribe. You’ll get a one-time confirmation once that’s processed. Want to start again? Just text “START.” For help with text messaging, reply “HELP,” email info@identalbilling.com, or call 916-546-9339.

Carrier Disclaimer: Standard message and data rates may apply, and carriers aren’t responsible for delayed or missed messages. As noted above, phone numbers and opt-in status are kept confidential and are not passed along to third parties for marketing.
